Operating hours define when your organization or a specific spot is normally available for booking. In this article, you will learn how to set default operating hours for the organization, create different schedules for specific days, and set custom operating hours for a specific spot.
Operating hours can also be used only as an operational reference. In that case, bookings can still be allowed outside the defined operating hours.
Operating hours help you define when spots are usually available for booking.
You can:
This helps users book at the right time and reduces invalid or manually corrected bookings.
Before you begin, make sure that:
Operating hours can be set on two levels:
For example, meeting rooms can use the standard office operating hours, while parking or another spot can be available for longer.
For each day of the week, you can:
Open the organization settings and go to Operating hours.
This is where you define the default operating hours that spots in the organization can use.
In the app:
Each day of the week has its own toggle.
If the day is active, you can set one or more time intervals. If the day is inactive, it is treated as closed.
In the app:
For example, if the organization is closed on Sunday, turn off the toggle for Sun.
For each active day, define when operations start and end.
Different days can have different operating hours.
In the app:
Example:
One day does not need to contain only one continuous interval.
You can use additional intervals, for example, to define morning and afternoon availability with a break in between.
Example:
In the app:
At the bottom of the settings, you will find Allow bookings outside operating hours.
This setting defines whether operating hours are a real booking restriction or only an operational reference.
Bookings follow the configured operating hours.
Bookings can also be created outside the configured operating hours.
This can be useful when operating hours are meant for:
without actually limiting bookings.
In the app:
After making changes, save the setup.
In the app:
The default organization operating hours are suitable for most spots. But if a specific desk, meeting room, parking space, or other spot works differently, you can define custom operating hours for that spot.
Custom operating hours are set in the spot create/edit modal on the Spots page.
In the app:
By default, a spot can use the organization operating hours.
If the spot should have its own schedule, enable Custom operating hours for this spot.
In the app:
The setup works the same way as on the organization level.
For each day, you can:
In the app:
Example:
The organization can have operating hours 07:00–19:00, while a sport area can use 07:00–22:00.
The Allow bookings outside operating hours option is also available for a specific spot.
In the app:
When you finish the setup, save the spot.
In the app:
An organization can use the following operating hours:
Most desks and meeting rooms can use this setup automatically.
But if parking is available from 06:00 to 22:00, enable Custom operating hours for this spot for that spot and define a separate time setup.
There is no need to change the operating hours for the whole organization because of one exception.
Operating hours define when the organization or a spot is normally available.
Booking mode defines how the spot is booked.
A spot can use:
These two settings control different parts of the spot behavior, so it is best to review them together.
Well-configured Operating hours help users book spots only when they are actually available.
For admins, this means fewer invalid bookings and less manual correction.
Custom operating hours also help manage exceptions without changing the setup for the whole organization.
Business impact: Better availability control reduces booking errors, makes spot management easier, and keeps the booking process consistent across the organization.
