⚠️ This guide is intended for Microsoft 365 administrators only.
The Whatspot Microsoft Teams app is currently not available in the Microsoft Teams Store. While we are awaiting approval, administrators can install the app manually using a custom app package downloaded from Whatspot.
This guide walks you through the complete installation process.
Who Can Install the App?
The installation must be performed by a user with one of the following Microsoft 365 roles:
- Global Administrator
- Teams Administrator
If you don’t have one of these roles, please forward this guide to your IT administrator.
Step 1: Download the Whatspot App Package
- Log in to Whatspot as an organization administrator.
- Go to: Organization Settings → Integrations → Microsoft Teams
- Click Download app package.
- A .zip file will be downloaded to your computer.
You will upload this file in the Microsoft Teams Admin Center.
Step 2: Enable Custom App Uploads in Microsoft Teams
- Open the Microsoft Teams Admin Center: https://admin.teams.microsoft.com
- In the left menu, go to: Teams apps → Manage apps
- Make sure that Upload custom apps is allowed.
If custom uploads are disabled:
- Go to: Teams apps → Setup policies
- Edit the Global (Org-wide default) policy
- Enable Upload custom apps
- Save changes


Step 3: Upload the Whatspot App
- In Teams Admin Center, navigate to: Teams apps → Manage apps
- Click: Upload new app → Upload a custom app
- Select the downloaded .zip file.
- After uploading, search for the Whatspot app, and open the app detail page.
- Ensure the app is Allowed in your organization.
The app is now approved for use.


Step 4 (Recommended): Preinstall the App for All Users
To make adoption easier, we recommend preinstalling the app organization-wide.
- Go back to: Teams Admin Center → Teams apps → Setup policies
- Open: Global (Org-wide default)
- In the section: Installed apps, click Add apps
- Select Whatspot
- Save changes
Optional but recommended:
- Add Whatspot to Pinned apps so it appears in the left navigation bar in Teams.
Note: Changes may take several hours (up to 24h) to propagate.


Using Whatspot in Outlook 365
Once installed in your tenant, the app will also be available in:
- Outlook on the web
- Outlook Desktop (Microsoft 365 version)
Users can find it under:
Apps → Whatspot
If the app is not visible:
- Check App permission policies
- Verify admin consent was granted
- Allow time for propagation
Troubleshooting
The app cannot be uploaded
Make sure the Upload custom apps option is enabled in Teams policies.
Users see a permissions error
Admin consent may not have been granted in Microsoft Entra ID.
The app is not visible to users
Check:
- Setup policies (Installed apps)
- Allow time for Microsoft propagation
Best Practice for Small and Mid-sized Organizations
For organizations up to 100 users, we recommend:
- Allow the app organization-wide
- Preinstall via Global policy
- Pin the app in Teams
This reduces support requests and increases user adoption.
